This notice explains what the WelcomeQ shop collects, why we use it and the choices you have.
Who is responsible
WelcomeQ is the trading name used for this service. The data controller is PSE3 Ltd (company number 15845792), registered in England and Wales. Contact us at hello@welcomeq.co.uk or Derwent House, Parker-Leighton Way, Oswestry, SY10 9RF.
What we collect
- Your name, business or host name, email and contact details.
- Your property name, delivery address, chosen style and selected information topics.
- The recurring guest questions you want the pack to address.
- Logos, images or guide links you choose to supply and are authorised to use.
- Payment status and transaction references supplied through PayPal. We do not receive your full card or bank details.
- Limited technical records created by our hosting and email providers to operate and secure the service.
Why we use it
We use the information to answer enquiries, save a shop design, match a PayPal payment, prepare the proof, fulfil an approved order, handle customer service and refunds, prevent abuse, and maintain legally required business records. These uses are necessary to take steps at your request before a contract, perform a contract, comply with legal duties and pursue our legitimate interest in operating and securing a responsible business service.
Who receives it
We use service providers for website hosting and form processing, business email, payment processing and, after approval, print fulfilment and delivery. They receive only the information needed for their role. The current providers include Vercel for the website and order form, Fasthosts for business email, PayPal for payment and Prodigi for print fulfilment. PayPal handles the payment page under its own privacy terms. We do not sell your information.
Where it is processed
Our providers may process information in the UK, European Economic Area, United States or other countries from which they provide their services. Where UK personal information is transferred internationally, we rely on the provider’s applicable contractual or legal safeguards. Contact us if you want more detail about a particular provider.
Marketing and outreach
WelcomeQ is aimed at relevant UK accommodation businesses. We may send a limited business-to-business message to a published business contact where we believe the offer is relevant. Every recipient can opt out, and opt-outs are retained on a suppression list so they are not contacted again. Shop details are not automatically added to a general marketing list.
How long we keep it
Unpaid designs and unused design material are normally deleted within 90 days. Completed order, payment and contract records are retained for the period required for accounting, tax, disputes and legal obligations, normally up to six years. Working artwork that is not needed for those records is normally deleted within 90 days after fulfilment. Suppression records are retained so an opt-out can be respected.
Your rights
You can ask for access, correction, deletion, restriction or portability of your personal information, and you can object to certain uses. Some rights depend on the circumstances and legal reason for processing. Email hello@welcomeq.co.uk to make a request.
You may also complain to the Information Commissioner's Office.
Cookies and analytics
This site does not use advertising cookies or visitor analytics. The shop can save a non-sensitive design draft in your browser so you do not lose your progress; the Wi-Fi password is deliberately excluded from that saved draft. You can clear the draft through your browser storage settings. The PayPal payment page is a separate service and may use cookies under PayPal's own notice.
